Tips for Resolving Scan to SMB Issues

If you work for a company, organization or a school district, you will most likely end up dealing with some level of Xerox troubleshooting. Although, the complicated stuff is left up to the Xerox servicing team, local IT staff will be responsible for setting up scan to email, workflow scanning etc. Most of the functions on the Xerox, etc. Then there are the painstaking ones such as Xerox scan to network, which I will get into in just a minute. I have spent many hours trying to get Xerox workflow scanning to work on a school network. In the end, I finally got it! I found the issue was in the path setting. So I am writing this article for anyone who is in the same boat and wish to save some time troubleshooting. Xerox workflow scanning is a very useful feature in that you can setup multiple templates for different users of your organization. Everyone can have their own individual folders on the network and scan into that folder. First, you want to login to your Xerox admin panel. After you login, you want to navigate to Xerox Workflow Scanning and file repository setup as shown below. In the Xerox file repository setup page, you want to give your setup a friendly name. You can see my setup below, I used port for my SMB setup. Next you will want to list your root shared folder name. For user authentication, you want to choose system and enter your domain login information. Be sure to give this domain user access permissions to the shared folders. Your Xerox file repository setup is now complete and you can save changes. If multiple users in your organization would like to scan to their own folders on the network then you would want to create a separate xerox scan to network templates for each user. You can easily set this up by navigating to the scan section of the xerox web admin panel. Here you will need to create a new scan to network template for each of your users. It is possible to send a large volume of scan data from the machine to the shared folder created on the Windows computer supporting SMB protocol on the network. From a computer connected to the network, you can access the shared folder, and import and save a large volume of scan data. A large volume of scan data more than 10 MB is sent more securely than by E-mail. You can share data easily without configuring a full-scale FTP server. How to create and set a shared folder differs depending on the settings and environment of the computer used. Only NTLMv2 is supported. Match the date and time of the machine with those of a computer including a time zone. Create a shared folder on the Windows computer. You can receive the scan data sent from the machine to the shared folder and share it with a client computer. Right-click the shared folder you created and select [Properties]. Click the [Sharing] tab and click [Advanced Sharing]. Add a check mark to [Share this folder] and click [Permissions]. Click [OK]. To give access permission to a specific group or user, click [Add] and add the group or user. Example: [Everyone] all users is permitted to access. To permit accessors to delete a file, add a check mark to [Full control]. Click the [Security] tab and click [Edit]. Click [Add]. If the computer name or domain name is displayed in [From this location]the computer or domain name can be omitted. If the computer name or domain name is unknown, check it in the following procedure. If you are not sure of the user name, check with the command prompt cmd. When the user name is underlined, click [OK]. The following information is necessary to register the destination SMB server shared folder to the machine. Write down the following items. You can check the IP address local address in the following procedure. Right-click the shared folder that you created in step 1 of "Creating a shared folder on the Windows desktop" and select [Properties] to display the file path in [Location]. Set the user name specified in step 8 of "Creating a shared folder on the Windows desktop. If you are using Image Controller IConly the user name is required. You can find the user name on the command prompt cmd.

When we test scanning to the folder it fails. When troubleshooting, I discovered that I can't even access the share via explorer on the laptop itself - it indicates "Network Error" Error code 0x When researching this issue, I came across some posts indicating that a change was made in version preventing guest access to shares. This is a standard setup that we do for a lot of our users and this is the first time I've seen this issue. I'm inclined to blame the Fall Creators Update, but want to be sure I haven't missed a step somewhere, or there isn't some other update or something that could be causing this. Or to give permissions to a folder within an existing share, give them Traverse permissions to the main share and then whatever permissions to the folder below that you want them to be able to access. Try mapping that from the users computer and see if they can access it. Double check that SMBv1 is enabled and try again. Some scanners only support SMBv1, and supposedly has that disabled by default. Better yet use FTP on a dedicated central server. It depends on what your Domain may do to your policy settings, but on a vanilla 10 PC the network location is set to Public by default. Going into the properties of the connection and selecting Private fixed it for me on a internal LAN. Thanks for the tips - I should be able to test these out tomorrow when the user returns to the office. Will keep you posted I have also tried mapping a drive to the share using the local credentials. I have access to another Windows 10 machine in the same office, so will test if they are having the same issue or not. Thanks for the information on LAPS - looks like it might be worthwhile implementing. I can confirm that another user running Windows 10 but version in the same network, with the same configuration, has no issues with this setup. Looks like it is the Fall Creators Update that changed this and we will have to move to another configuration for these users. Did you get this resolved? I'm having the same issue with a new Win 10 machine. I have done everything you have and still not working. It does work with machines on the same network. I have been investigating this for scanning with our copiers. I am testing against my machine to see if I can make it work. I am running Windows 10 Then in the registry, SMB1 needs to be enabled.

We already created a folder and shared it to a new account with password but it says Job not sent. Click Add. Next to Friendly Name, type a name for the repository.
